Enrollment Policies

Credit Loads, Overloads, and Priority Registration

Guidelines governing undergraduate course enrollment, maximum credit allowances, priority scheduling, and administrative account holds.

Standard Credit Loads

Undergraduates must enroll in a minimum of 12 credit hours per semester for full-time standing, maintaining financial aid, Division III athletics eligibility, and on-campus housing.

  • • Standard Progress: 15–16 credits per semester to graduate in 4 years (120 total credits).
  • • Maximum Self-Service: 18 credits per semester without special approval.
  • • Part-Time Standing: Under 12 credits; billed at $1,620 per credit.
  • • Graduate Full-Time: 9 credits per semester (6 credits for graduate assistants).

Credit Overload Policy

Enrolling in 19 to 21 credit hours requires submitting a Credit Overload Petition in AlkimiHub before the semester Add Deadline.

  • • GPA Requirement: Cumulative Alkimi GPA of 3.30 or higher.
  • • Residency: Completed at least one 12+ graded credit semester at Alkimi (first-term students ineligible).
  • • Approvals: Written endorsements from your primary Academic Advisor and Major Department Chair.
  • • Tuition Surcharge: $1,620 per credit hour for each credit above 18. Exceeding 21 credits is prohibited.

Priority Registration & Waitlists

Registration for upcoming semesters is staggered across four days organized strictly by completed credit standing:

  1. 1. Day 1: Graduate students, varsity student-athletes, and seniors (90+ completed credits).
  2. 2. Day 2: Juniors (60 to 89 completed credits).
  3. 3. Day 3: Sophomores (30 to 59 completed credits).
  4. 4. Day 4: First-year students (0 to 29 completed credits).

Waitlists: If a class is full, add your name to the electronic waitlist. When a seat opens, you have exactly 24 hours to claim it in AlkimiHub before it passes to the next student.

Understanding Administrative Registration Holds

An active hold on your AlkimiHub account restricts course adds, future registration, transcript issuance, and diploma release. Common holds and clearing offices:

Financial Hold

Applied when an unpaid balance exceeds $500. Clear with Student Accounts (Bursar) in Harlan Hall 120.

Advising Hold

Placed every semester on all degree-seeking undergraduates. Lifted after meeting with your faculty or staff advisor.

Immunization Hold

Placed before second-semester registration if MMR or Meningococcal vaccines are missing. Clear with Hollis Health.

Document Hold

Placed if final high school or prior college transcripts have not been received. Clear with the Registrar.

Course evaluations follow a standard four-point grading scale. Review grade point weights, repeat rules, incomplete resolutions, and grade appeal stages.

Administrative Notations: P (Pass, C- or higher, credits awarded, no GPA impact), NP (No Pass, zero credits, no GPA impact), W (Official Withdrawal, no GPA impact), I (Incomplete, temporary placeholder), AU (Audit, zero credits), IP (In Progress), XF (Academic dishonesty sanction, 0.0 points). Incomplete Grades (Grade of I)

Requested when acute, documented emergency circumstances prevent a student from completing final course work, provided they completed at least 70% of course requirements with passing grades.

Incomplete (I) grades must be resolved by the end of the following regular semester or they convert to F. For Fall 2026 courses, the deadline is May 5, 2027; for Spring 2027 courses, the deadline is December 9, 2027.

Course Repeat Policy

A course may be repeated once for grade replacement; both attempts stay on the transcript but only the later grade counts in the GPA.

Eligible for courses in which you received a C- or below. Limited to one repeat (two attempts total). Credit towards graduation is earned only once. Third attempts require a formal petition.

Pass/No Pass & Course Auditing

Up to 4 courses (maximum 1 per semester) may be taken Pass/No Pass outside the major, minor, and Core Writing requirements. P requires C- or better.

Auditing: Full-time undergraduates may audit one lecture course per semester tuition-free (notation AU; zero credits). Part-time students pay 50% tuition ($810/credit).

Academic Standing & Probation

  • • Good Standing: Cumulative GPA of 2.0 or higher.
  • • Academic Probation: Cumulative GPA below 2.0. Students on probation may take no more than 15 credits and must complete an Academic Success Plan with an advisor.
  • • Academic Suspension: A student on probation whose term GPA and cumulative GPA are both below 2.0 is suspended for one regular semester.

Dean's List & Latin Honors

  • • Dean's List: Term GPA of 3.5 or higher with at least 12 graded credits and no grades of I, F, or NP.
  • • Cum Laude: 3.500 to 3.699 GPA (60+ credits in residence).
  • • Magna Cum Laude: 3.700 to 3.899 GPA.
  • • Summa Cum Laude: 3.900 to 4.000 GPA.

Grade Appeals Process

Appeals require evidence of arbitrary or capricious grading, prejudice, or deviation from the syllabus:

  1. 1. Instructor Conference: Within 15 calendar days of the new semester.
  2. 2. Chair Petition: Within 30 calendar days of the new semester start.
  3. 3. College Review Board: 2 faculty and 1 student.
  4. 4. Provost Review: Final procedural review.

Enrollment & Degree Verifications

Official certifications confirming your student status for health insurers, scholarship foundations, military IDs, or auto insurance discounts:

  • • Enrollment Certificates: Downloaded directly from the National Student Clearinghouse via AlkimiHub. Verifications for the active term become accessible immediately following the census date.
  • • Degree Verifications: Employers and background screening organizations verify completed Alkimi degrees online through degreeverify.org.

FERPA & Directory Privacy Opt-Out

Under the Family Educational Rights and Privacy Act (FERPA), students have the right to inspect their records within 45 days, request amendments, and restrict disclosure.

Directory Information: Name, university email, major, class year, enrollment status, dates of attendance, degrees and honors awarded, activities, and varsity athlete height/weight.

Privacy Block: To prevent disclosure to third parties, activate the Directory Privacy Block in AlkimiHub profile settings. The block stays in effect permanently until revoked.

Chosen Name & Legal Name Updates

Alkimi University supports student identity across digital systems and official documents:

  • • Chosen First Name & Pronouns: Update directly in AlkimiHub. Appears immediately on course rosters, Canvas, campus directory, AlkimiCard, and housing lists.
  • • Legal Name Changes: Permanent diplomas, transcripts, 1098-T tax statements, and financial aid records require your legal name. Submit the Legal Name Change Form with certified legal documentation (court decree, marriage certificate, or passport) to Harlan Hall 120.

Applying for Graduation and Degree Conferral

Graduation is not automatic. All graduating undergraduate and graduate students must file a formal application in AlkimiHub.

Degree Audit & Commencement Participation ("Walking" Policy)

When you submit your application in AlkimiHub, the Registrar conducts an official Degree Audit verifying your major requirements, upper-division credits (36+ credits at 300+ level), cumulative GPA (2.00+), and institutional residency (at least 30 of the final 45 credits taken at Alkimi).

Commencement Walking Policy: Seniors within 8 credit hours of graduation who are registered for those remaining credits in Summer 2027 may participate in the May ceremony with their Academic Dean's approval. Diplomas are mailed approximately 6 weeks following formal Board of Trustees conferral.

How many credits count as full-time status for undergraduates?

Undergraduate students must register for at least 12 credit hours per semester to maintain full-time academic standing, NCAA athletic eligibility, institutional financial aid, and campus housing eligibility. The standard full-time tuition bracket covers 12 to 18 credits.

Can I take more than 18 credits in a single semester?

Enrolling in 19 to 21 credits is considered a credit overload. To qualify, you must have a cumulative GPA of 3.30 or higher, have completed at least one full semester of 12+ graded credits at Alkimi, and obtain approvals from your academic advisor and major department chair. Overloads carry a tuition surcharge of $1,620 per credit above 18 credits. Enrolling in more than 21 credits is prohibited.

What is the difference between dropping a course and withdrawing from a course?

Dropping a course on or before the census date (end of week 2) erases the course completely from your record with no transcript notation and yields a 100% tuition refund. Withdrawing between week 3 and the 10th-week withdrawal deadline places a permanent grade notation of "W" on your transcript, which does not affect your GPA but counts as attempted credits for financial aid SAP progress. No refund is granted after week 4.

How does Pass/No Pass grading work and what are the restrictions?

Undergraduates may take up to 4 elective courses under Pass/No Pass grading (maximum 1 per semester). P/NP cannot be used for major courses, minor courses, or Core Writing I/II. A grade of P requires a C- (1.70) or higher. Grades below C- receive NP. Neither P nor NP factors into your GPA. The election deadline is the 10th-week withdrawal deadline and is irreversible once filed.

What should I do if I receive an Incomplete (I) grade?

An Incomplete is a temporary placeholder granted when emergency circumstances prevent you from completing final requirements, provided you completed at least 70% of the coursework with passing marks. You and your instructor must execute a digital Incomplete Contract in AlkimiHub before finals. All remaining work must be finished by the end of the subsequent regular semester (May 5, 2027 for Fall 2026 courses; December 9, 2027 for Spring 2027 courses) or the grade automatically and irreversibly becomes an F.

Can I repeat a course to replace a low grade?

You may repeat any course taken at Alkimi in which you earned a C- or below. A course may be repeated once for grade replacement (two total attempts). Both attempts remain listed on your transcript, but only the later grade earned is calculated into your cumulative GPA. Degree credit is awarded only once.

What are the grounds and deadlines for a grade appeal?

Grade appeals must demonstrate that a final grade was assigned arbitrarily, capriciously, with prejudice, or in material deviation from the course syllabus. Step 1 requires conferring with the instructor within 15 calendar days of the following semester. If unresolved, a formal petition must be submitted to the department chair within 30 calendar days of the start of the following regular semester.

How do I order an official transcript, and how much does it cost?

Official electronic transcripts bearing the university seal and digital signature cost $10 per recipient and are ordered online through the National Student Clearinghouse portal. Certified paper transcripts sent by mail cost $15. Unofficial transcripts can be viewed and printed free of charge anytime in AlkimiHub. Transcripts are blocked if you have an unpaid balance exceeding $500 or an active administrative hold.

How do I obtain an enrollment or degree verification?

Enrollment certificates for health insurance, car insurance discounts, or scholarships are generated automatically free of charge through the National Student Clearinghouse link in AlkimiHub after the semester census date. Third-party employers and screening agencies verify degrees through degreeverify.org.

What is FERPA directory information, and how do I opt out?

Under FERPA, directory information (such as name, email, major, class year, degrees awarded, athletic participation, and dates of attendance) may be shared without prior consent unless you place a restriction. You can activate the Directory Privacy Block in AlkimiHub profile settings at any time to withhold all directory information.

How do I change my chosen name or legal name in university records?

You can update your chosen first name and personal pronouns anytime in AlkimiHub; your chosen name immediately updates on course rosters, Canvas, student directories, AlkimiCards, and housing lists. Legal name changes require submitting the Legal Name Change Form to the Registrar with supporting legal documentation (court order, marriage certificate, or passport) to update transcripts, diplomas, and tax forms.

What are the GPA requirements for Dean’s List and Latin Honors?

Dean’s List requires a semester term GPA of 3.50 or higher with at least 12 graded credits and no grades of I, F, or NP. Latin Honors for graduating seniors require at least 60 graded credits completed at Alkimi: Cum Laude (3.500–3.699), Magna Cum Laude (3.700–3.899), and Summa Cum Laude (3.900–4.000).

When and how do I apply for graduation?

Graduation is not automatic; you must submit an Application for Graduation in AlkimiHub. Deadlines: October 1, 2026 for December 2026 degree conferral; February 1, 2027 for May 2027 Commencement; and June 1, 2027 for Summer 2027 conferral. Upon filing, the Registrar conducts an official Degree Audit to confirm all major, minor, and 40-credit Core requirements are met.

What causes a registration hold, and how is it resolved?

Administrative holds prevent adding classes, future registration, transcript release, and diploma delivery.
