University Policy Library

The central repository of official regulations, student codes, academic standards, Title IX procedures, and workplace policies governing Alkimi University.

All members of the Alkimi University community—students, faculty, administrative staff, and visitors—are bound by institutional policies codified in our published handbooks.

Official regulatory texts are published in the Student Handbook, Faculty Handbook, Employee Handbook, and AI Guidelines. Each summary below provides direct citations to the governing handbook sections.

Curriculum & Instruction

Academic Policies & Standards

Grading scales, course registration, attendance, academic standing, and final examination rules.

Grading System & GPA

Official 4.0 grading scale ranging from A (4.0) to F (0.0). GPA calculations weight quality points by credit hours.

Incomplete Grades (I)

Incomplete (I) grades must be resolved by the end of the following regular semester or they convert to F. Granted only for documented medical or emergency reasons.

Pass/No Pass Option

Up to 4 courses (maximum 1 per semester) may be taken Pass/No Pass outside the major, minor, and Core Writing requirements. P requires C- or better. Grade of P does not impact GPA; NP carries zero quality points.

Course Repeat & Replacement

A course may be repeated once for grade replacement; both attempts stay on the transcript but only the later grade counts in the GPA. Previous course attempt remains on permanent record.

Grade Appeals Window

Appeals must be initiated within 30 calendar days after the start of the following regular semester. based on arbitrary grading or computational error.

Academic Standing

Cumulative GPA of 2.0 or higher. Cumulative GPA below 2.0. Students on probation may take no more than 15 credits and must complete an Academic Success Plan with an advisor. A student on probation whose term GPA and cumulative GPA are both below 2.0 is suspended for one regular semester.

Attendance & Religious Observance

Students may miss class for religious observance without penalty if they notify the instructor in writing within the first two weeks of the semester. Absences for university-sponsored activities (athletics, performances, conferences) are excused with a letter from the sponsoring office at least one week in advance. First-week non-attendance allows instructor drops.

Final Examination Conflicts

A student with three or more final exams on the same calendar day may reschedule one of them. Requests go to the instructor of the middle exam by the last day of classes. No exams worth more than 10% of the course grade may be given during the last week of classes, except labs and practical exams.

Latin Honors

Cum laude 3.50, magna cum laude 3.70, summa cum laude 3.90 (cumulative, at least 60 credits at Alkimi). Term GPA of 3.5 or higher with at least 12 graded credits and no grades of I, F, or NP.

Community Standards

Student Conduct & Community Standards

Expectations of personal responsibility, residential rules, alcohol regulations, and disciplinary processes.

Student Code of Conduct

Standards of behavior on campus and in university-sponsored activities, administered by the Office of the Dean of Students.

Alcohol & Substance Rules

Alcohol is prohibited in first-year residence halls regardless of age. Students 21 and over may possess alcohol in Summit Apartments only. Prohibited in all other student housing. Illicit drugs are banned campus-wide.

Quiet & Courtesy Hours

Sunday–Thursday 10:00 p.m.–8:00 a.m., Friday–Saturday 1:00 a.m.–10:00 a.m.; 24-hour quiet hours during final exams. Courtesy hours are in effect 24 hours a day.

Residential Guest Policy

Overnight guests may stay no more than 3 nights in any 14-day period, with roommate consent. Hosts are responsible for the conduct of their visitors at all times.

Medical Amnesty Policy

A student who seeks medical help for themselves or another person in an alcohol or drug emergency will not be charged with a conduct violation for the use itself. The priority is always student safety and immediate medical care.

Conduct Hearings & Appeals

Due process hearings conducted by Student Conduct officers. Appeals within 5 business days of the written outcome.

Civil Rights & Safety

Title IX & Equal Opportunity

Prohibiting sex-based discrimination, sexual harassment, sexual assault, domestic violence, and retaliation.

Scope & Reporting Options

Protection for all students, employees, and applicants. Formal reports may be filed with the Title IX Coordinator at any time.

Mandatory 24-Hour Reporting

Faculty and staff (other than confidential employees) must report information about sexual harassment involving students to the Title IX Coordinator within 24 hours. Ensures prompt institutional outreach and provision of supportive measures.

Designated Confidential Resources

Hollis Health & Counseling Center clinicians, the university chaplains, and the CARE advocate are confidential resources. Confidential resources do not report identifiable information to Title IX.

Supportive Measures

Non-disciplinary accommodations available without filing a formal complaint: no-contact directives, course reassignments, and housing adjustments.

Grievance Investigation

Fair, impartial investigations and live hearings with cross-examination by advisors. Decisions based on preponderance of the evidence.

24/7 CARE Advocate

Confidential crisis counseling, hospital accompaniment, and safety planning available 24/7 at (555) 555-0195.

Intellectual Honesty

Academic Integrity

Preserving the credibility of academic degrees, honesty in scholarship, and fair adjudication of violations.

Definitions of Misconduct

Plagiarism, cheating, unauthorized collaboration, data falsification, and unauthorized use of generative AI tools.

10-Day Faculty Reporting

Faculty report suspected violations to the Office of Academic Integrity within 10 business days of discovering them. Preserves procedural timelines and guarantees prompt student notification.

Faculty Resolution Agreements

For a first-level violation the instructor may offer a Faculty Resolution Agreement (a sanction up to and including an F on the assignment). The student has 5 business days to accept or request a hearing. Filed with the Office of Academic Integrity; voided for repeat offenses.

AIB Hearing Panels

Hearings are held by a panel of the Academic Integrity Board: two faculty members and one student. The standard of proof is 'more likely than not'. Students are presumed innocent until proven responsible by a preponderance of the evidence.

Sanctions & The XF Grade

Range from a warning and educational module to an F in the course (recorded as XF for serious or repeat violations), suspension, or expulsion. An XF denotes failure due to academic dishonesty on the official transcript.

XF Removal Protocol

An XF may be converted to F after completing the Integrity Seminar and no further violations, by petition no sooner than one year later. Grade converts to an F; XF grades from suspension or expulsion cannot be removed.

Privacy & Compliance

Student Records & Privacy (FERPA)

Safeguarding student education records, controlling disclosure, and defining directory information.

FERPA Inspection Rights

Students may inspect their education records within 45 days of a request, request amendment, and control disclosure except where FERPA permits disclosure without consent. Requests are coordinated through the Office of the Registrar.

Directory Information & Opt-Out

Name, email, major, class year, enrollment status, dates of attendance, degrees and honors, participation in recognized activities and sports, and athletes' height and weight. Students may block directory information through the student portal at any time; the block stays in place until the student removes it.

Legitimate Educational Interest

Faculty and staff may access student records only when necessary to fulfill specific professional duties.

Biennial Training Mandate

All faculty complete FERPA training every two years in the Alkimi Learning Portal. Ensures compliance with electronic record security and grade posting rules.

Official Academic Transcripts

Official transcripts are ordered electronically via the Registrar. Disciplinary suspensions are recorded pursuant to university policy.

Posting Grades & Returning Papers

Grades may not be publicly displayed using student names or ID numbers. Graded work must be returned via secure Canvas channels.

Information Security

IT, Security & Data Governance

Rules for computing access, multi-factor authentication, data classification, and acceptable technology use.

Acceptable Use of IT

University computing assets, networks, and email accounts are intended for educational and institutional operations.

AlkimiID & MFA

Mandatory multi-factor authentication protects single sign-on credentials across Canvas, email, and administrative databases.

Four-Tier Data Classification

All institutional information is classified into Public, Internal, Confidential, or Restricted tiers with strict handling controls.

Approved AI Platforms

Alkimi is the university-approved AI platform; university data classified Confidential or Restricted may be used only in approved tools. Confidential records may not be entered into unvetted public AI platforms.

Remote Work Data Security

Remote employees must maintain private workspaces, use university-managed VPNs, and avoid local storage of restricted data.

Cybersecurity & Phishing

Mandatory incident reporting protocols for suspicious emails, compromised passwords, or lost university devices.

Artificial Intelligence

Generative AI Policies

Guiding principles, syllabus course levels, disclosure obligations, and algorithmic evidentiary limits.

Institutional Default Rule

Unless the syllabus says otherwise, generative AI tools may be used for brainstorming, studying, and feedback on your own drafts, but not to produce work you submit for a grade. Protects academic rigor whenever a syllabus does not specify an alternate level.

Three Syllabus AI Levels

Every syllabus must state one of three levels: Level 1 (AI not permitted for graded work), Level 2 (AI permitted with disclosure for specified tasks), Level 3 (AI permitted broadly with disclosure). Codified in Faculty Handbook §5.2 and §7.1.

Student Disclosure Mandate

When AI use is permitted, students include a brief AI-use statement naming the tool and how it was used. Statements must specify the tool name, prompts used, and the nature of assistance.

AI Detection Tool Limits

AI detection scores may not be the sole basis for an academic integrity report. Prevents wrongful discipline based on algorithmic probability scores.

Zero Data Retention Platform

Alkimi Enterprise operates with zero data retention, ensuring institutional data is never used to retrain external foundation models.

Prohibited High-Risk Uses

Biometric surveillance, predictive behavioral scoring, and fully automated unreviewed grading are strictly prohibited.

Workplace Standards

Employment & Workplace Policies

Comprehensive guidelines for faculty and staff on compensation, leaves, retirement, tuition remission, and ethics.

Pay Schedules

Faculty and exempt staff are paid monthly on the last business day; non-exempt staff biweekly on Fridays. Electronic paystubs available through AlkimiHub.

Paid Time Off (PTO)

Full-time staff accrue vacation at 15 days per year (years 0–4), 20 days (years 5–9), 25 days (10+); maximum carryover 30 days. 12 days per year for full-time staff, carryover up to 90 days.

Paid Parental Leave

12 weeks of paid parental leave for birth, adoption, or foster placement after 6 months of employment. Available for birth, adoption, or foster placement.

Retirement Matching

The university contributes 5% of salary and matches employee contributions up to an additional 5%, with immediate vesting. Administered by Human Resources with multiple investment options.

Tuition Remission

Employees: up to 8 credits per semester at no cost. Spouses and dependents: 100% of undergraduate tuition after 3 years of full-time service. Applies to eligible credit-bearing undergraduate and graduate coursework.

Remote & Flexible Work

Hybrid arrangements are approved by the supervisor and HR, with a written agreement renewed annually. Outlines eligibility, equipment standards, and required core hours.

Faculty Outside Employment

Up to one day per week (averaged over the semester) of outside professional activity with prior approval from the chair and dean. Consulting activities must not compromise instructional commitments.

Annual Conflict of Interest

Annual disclosure due October 1. Mandatory reporting for faculty and exempt staff with external financial interests.

Paid University Holidays

12 paid holidays plus the winter closure between December 24 and January 1. Facilities remain operational with designated essential staff.

24/7 Campus Safety

Uniformed officers patrol campus 24 hours a day, 365 days a year from Brightwater Commons Ground Floor. Emergency: (555) 555-0111.

Mass notification system broadcasting urgent safety alerts via SMS, email, and campus sirens during active emergencies.

SafeWalk Escort Service

Trained student safety officers provide walking escorts anywhere on campus from dusk until 2:00 a.m. Call (555) 555-0112.

Inclement Weather Closures

University closure announcements issued by 6:00 a.m. Essential personnel report as scheduled; classes shift to remote or cancel.

Workplace Injury Reporting

All workplace accidents and injuries must be reported to the supervisor and Human Resources within 24 hours.

Environmental Health & Labs

Chemical hygiene protocols, biohazard handling in Meridian Science Center, and annual lab safety certifications.
